Strong Internal Communications Can Bring Major Benefits

Strong Internal Communications Can Bring Major Benefits

Internal communications are critical for essentially all businesses with more than one employee. In a world with many modes of communication, how does your company keep in touch? We’ve compiled five great ways that your company can take advantage of today’s tools to help your employees stay connected to one another and promote a laser focus on common goals.

A Social Intranet
A company intranet set up correctly is a unified way of connecting your staff to your internal information resources. You can think of it as a portal which connects your employees to just about anything that they need access to during the workday. This includes links to commonly needed online resources, information assets, and any important contact information for personnel or services. Some examples of services could include your friendly neighborhood managed service provider (ahem) or help desk number.

Instant Messaging
Many organizations have come to the realization that most internal email can be more quickly and efficiently handled than using email. In cases like this, instant messaging helps your team quickly communicate and avoid an overstuffed email inbox. Aside from this, instant messaging is important in that it allows your employees to communicate in a moment’s notice, cutting down on time wasted due to miscommunications during project implementation. Some features to look for in an instant messaging system are the ability to create persistent group chats and private rooms. Microsoft Teams comes free with Office 365, another popular alternative with a free version is Slack.

Internal Blogs and Documentation
It’s important to establish a knowledge-capturing and -sharing culture where your staff is continuously documenting and distributing the core knowledge needed to run the company. Some companies have internal blogs available through their intranet solutions that explain certain concepts more in-depth so they are available to other staff when needed. The same can be said for documentation regarding more complex procedures, typically contained within Operations Playbooks or Standard Operating Procedures (SOPs). At Agilitec, we try to ensure all staff training references an SOP to improve the speed and effectiveness of the training and ensure the employee’s take away notes on each step of the procedure are complete and consistent.

Discussion Boards
In much the same way as internal blogs and documentation, discussion boards can be used by your team to brainstorm ideas and engage each other in a more free-flowing environment. This can be in the form of asking open-ended questions regarding workflow or getting feedback for an upcoming project. Either way, discussion boards can be used with the intention of making information both more consumable and more searchable. Microsoft Teams and Slack again are perfect tools for this functionality.

A Ticketing System and Help Desk

Let’s say that your company experiences technology issues that your employees don’t know how to fix. Instead of wasting time reminding those with more tech know-how to help you out, you could implement a ticketing system put in place by a managed service provider like Agilitec IT. You can then have your employees submit a ticket when they need help. The MSP would then respond as per your service agreement, eliminating most of the downtime caused by technology troubles.

Ultimately, internal communication will rely on a robust set of tools and customs followed by all in the organization. Are you ready to implement these types of strategies for your business? If you haven’t implemented them already, call us at (702) 720-1700.
